We are seeking a results-driven and systems-oriented Head of Operations to lead the agencys delivery engine and operational infrastructure. This role is critical in designing and managing scalable workflows, optimizing cross-functional coordination, and ensuring seamless execution across strategy, content, design, performance, and automation teams.

The ideal candidate has deep operational experience within digital marketing or consulting environments, excels in remote team management, and possesses a sharp understanding of delivery systems, KPIs, and agency operations. You will be responsible for building a resilient and agile operations function that ensures timely, high-quality client delivery while enabling internal team efficiency and satisfaction.


Key Responsibilities

  1. Build and optimize end-to-end operational workflows across all service verticalsstrategy, content, design, paid media, automation, and client success.
  2. Manage cross-functional teams, map and manage team bandwidth, resource allocation, and project prioritization in alignment with business goals and client delivery timelines.
  3. Drive implementation and adoption of scalable SOPs to ensure standardization and repeatability in execution across functions enhancing both internal clarity and external delivery consistency.
  4. Oversee the agencys project management ecosystem tools (like Notion), ensuring visibility, task ownership, dependencies, and status tracking while managing dashboards that support both internal operations and client-facing transparency.
  5. Coordinate across departments to eliminate workflow silos, manage interdependencies, and streamline multi-team deliverables.
  6. Proactively identify bottlenecks and operational inefficiencies, and drive process improvements through automation, tooling, or team restructuring.
  7. Monitor project health, delivery timelines, quality standards, and team performance through real-time dashboards, providing clear, actionable insights for both internal and clients.
  8. Support planning and execution of weekly/monthly syncs, retrospectives, and OKR tracking sessions to ensure alignment and accountability.
  9. Implement internal QA checkpoints to maintain delivery quality and reduce feedback loops or client escalations.
  10. Forecast workload fluctuations and plan capacity in advance to prevent resource strain or delivery delays.
  11. Collaborate closely with the Strategy and Client Success teams to ensure delivery operations meet or exceed client expectations.
  12. Manage the onboarding, documentation, and training processes for new team members to ensure clarity, speed, and consistency.
  13. Define SLAs for internal workflows (design turnarounds, copy edits, automation builds, etc.) and ensure adherence across the board in alignment with internal workflow standards and client expectations.
  14. Own operations metrics and reportingprepare dashboards, performance reviews, and insights for internal team and clients for delivery visibility.
  15. Support hiring plans, evaluate team utilization, and recommend structural changes to optimize operations.
  16. Coordinate with external vendors or contractors to ensure they’re integrated smoothly into delivery pipelines.
  17. Lead initiatives to improve collaboration, remote productivity, and workflow transparency across time zones and functions.
  18. Manage cost-efficiency across operations without compromising on quality, speed, or team morale.
  19. Stay updated on operational best practices from high-performing marketing agencies and adapt relevant models to iCatalyft.
  20. Champion a culture of ownership, clarity, and continuous improvement across all delivery teams.
  21. Provide ad-hoc support on special projects and any other Operational requirements as needed.

Preferred candidate profile

  1. 8–12 years of operations, delivery, or project management experience, preferably in a digital marketing agency or consulting environment.
  2. Strong understanding of marketing workflows across strategy, content, design, paid campaigns, and marketing automation.
  3. Proven experience in building scalable SOPs, delivery processes, and cross-functional execution models.
  4. Hands-on experience with project management and collaboration tools (e.g., Notion, Slack, Google Workspace, Trello).
  5. Excellent problem-solving, documentation, and process-mapping skills.
  6. Strong leadership and communication skills, especially in remote and distributed team environments.
  7. Comfortable with data reporting, dashboarding, and using operational insights for decision-making.
